Privacy Policy
Effective October 5, 2026
This policy describes how New Line Management LLC ("NLM", "we", "us") collects, uses, and protects information when you use our website at newlinemanagement.com and our property operations platform at app.newlinemanagement.com (together, the "Services").
Information we collect
- Account information. Name, email address, and role, provided when an NLM administrator creates your account or invites you to the platform.
- Vendor application information. If you apply to join our vendor network: business name, contact details, trades and service areas, licensing and insurance documents, and pricing you submit.
- Operational records. Properties, jobs, quotes, work authorizations, invoices, and related activity created in the course of property operations work.
- Worksite media. Photos, captions, condition notes, and related metadata that an authorized vendor uploads for an assigned job. Photos may incidentally show an address, possessions, or people, so uploaders should frame the work area and avoid unnecessary personal information.
- Proposal requests. Contact details and portfolio information you submit through our "Request a proposal" form.
- Usage and log data. Sign-in events, actions taken in the platform (kept in an audit log), and standard server logs including IP address and browser type.
How we use it
- To operate the platform: managing properties, jobs, vendor relationships, and client engagements.
- To authenticate you. We use passwordless sign-in: when you request access, we email you a one-time link that expires in 15 minutes.
- To respond to proposal requests and vendor applications.
- To maintain security and an audit trail of administrative actions.
All email we send is transactional: sign-in links you request, invitations initiated by an NLM administrator, and notifications about work you are directly involved in. We do not send marketing email, we do not buy or rent contact lists, and we do not share your email address with third parties for their own use. Email is delivered through Amazon Web Services (Amazon SES). Addresses that bounce or register a complaint are automatically suppressed from future sending.
Cookies
We use essential HTTP-only session cookies to keep staff, vendors, and clients signed in to the appropriate part of the platform. Portal entry links are one-time and become a separate browser session that expires after no more than 7 days. These cookies contain opaque random values, not profile data or tracking identifiers. We do not use advertising or third-party analytics cookies.
AI-assisted photo review
When an authorized vendor chooses an AI-assisted photo feature, NLM sends a bounded set of worksite photos and limited job context to Amazon Bedrock in the AWS US East (N. Virginia) region. The purpose is to draft visible condition notes or suggest quantities and scope lines. Do not intentionally include faces, identity documents, payment information, computer screens, or unrelated personal possessions in these photos. NLM does not use this feature for facial recognition or to make an automatic decision about a person.
AI output can be incomplete or wrong. It is a draft only: a vendor or NLM operator must review and edit it before any quote, work authorization, change order, or invoice is submitted. Uploaded source photos remain part of the job record until removed through the platform or deleted under the normal operational-record retention process. Generated suggestions are retained only if a user chooses to incorporate them into an operational record.
How we share information
We share information only as needed to run the Services: with the property owners whose portfolios we operate (limited to work on their own properties), with vendors assigned to a job (limited to that job), and with service providers that host our infrastructure (Amazon Web Services, United States). We do not sell personal information. We may disclose information if required by law.
Data retention and deletion
Operational records are retained for the duration of our engagement with the relevant client and as required for accounting and legal purposes. Deleted records are held in a recycle bin for 30 days and then permanently purged. Sign-in links expire after 15 minutes and are single-use.
Security
The platform runs on Amazon Web Services in the United States. Network traffic is protected in transit with TLS; uploaded object storage is encrypted at rest; database access is restricted to a private network; and administrative actions are logged. NLM is migrating legacy database storage to an encrypted replacement as part of its current infrastructure hardening program.
Your rights
You may request access to, correction of, or deletion of your personal information by emailing hello@newlinemanagement.com. If you are a vendor or client user, some records may need to be retained to meet contractual or legal obligations; we will tell you if that is the case.
Changes
We will post any changes to this policy on this page and update the effective date above.
